Standards of Academic Progress (SAP)

What is Standards of Academic Progress (SAP)?

 

Students receiving financial aid benefits (grants and/or loans) are required to achieve and maintain satisfactory academic progress towards earning a degree, diploma, or certificate.  KCTCS and Hazard Community and Technical College each use the federal government’s minimum standards when evaluating student’s files at the end of each term.  Listed below is a brief summary of criteria that students must meet to maintain satisfactory SAP:

 

  • Cumulative Grade Point Average (GPA) of 2.0 or higher.

 

  • Completion of 67% or higher of all courses attempted (includes all courses with grades of “I”, “E”, “F”, “W”, “MP”, etc.).

 

  • Student must complete their academic program within 150% of the time needed.  Example, a student working towards an Associate in Art degree, the program is 60 hours in length.  The student can attempt a maximum of 90 hours to earn the degree.

 

  • Student must be degree seeking and working towards an eligible degree, diploma, or certificate program to be eligible to receive financial aid funding.  Students working towards a certificate program must be working towards a certificate of 16 credit hours or higher.

 

  • Student’s home school for financial aid must be Hazard Community and Technical College.  The home school must be the institution granting the degree, diploma, or certificate.

 

Should you fail to meet SAP, your eligibility to receive financial aid is suspended (this includes student loans).  Any student failing to meet SAP but has extenuating circumstances may appeal their status.  The following is useful information in reference to the HCTC policy on evaluating SAP:

 

  1. Student’s academic progress is measured at the end of each term of study.
  2. Student’s who fail to unconditionally meet the federal government’s Standards of Academic Progress (SAP) must file an appeal with the HCTC Financial Aid Office.
  3. All required documentation must be submitted before an appeal will be reviewed.
  4. The HCTC Financial Aid Office will review and place into U.S. Mail the results of all appeal reviews within 10 business days of receipt at the Hazard Campus office.
  5. Any student with an academic program plan of Undecided or Non Degree will NOT be considered for review.
  6. Approvals of appeals are for one-term only and the student must comply with the terms of the appeal.
  7. If the student has an approved appeal, any changes in academic programming or anticipated graduation date must be submitted in writing to the HCTC Financial Aid Office and approved.
  8. Any student failing to comply with the conditions of an approved SAP appeal (1st appeal approved) will have their aid eligibility suspended.  The student will have the option of (1) enrolling in a minimum of one three-credit hour course, the course must be applicable towards graduation in their approved academic plan, not be developmental credit, or elective credit.  The student will be required to earn a grade of “C” or higher and submit a written request to the HCTC Financial Aid Office asking for a review of their record.  (2) The student must sit out a minimum of 2 full academic years (2 fall, 2 spring, and 2 summer terms), then submit a written request to the HCTC Financial Aid Office asking for a review of their record.
  9. Any student failing to comply with the conditions of an approved SAP appeal after the second approved appeal will not be permitted to receive financial aid at HCTC in any future terms.
  10. Any student found to owe a repayment of financial aid (due to R2T4), be in default of a federal student loan, or owe a balance to HCTC or any other KCTCS school will not be considered for review of a SAP appeal.
